How your business can enjoy a better telephone system and save money

For decades, our government telecommunications service provider ruled telephony services in South Africa, and while we were dependent on them to conduct business successfully, I’m sure we’d all agree that it was a love-hate relationship. There were constant service delivery issues, and the negative feedback continued for decades. Thankfully we now have various business voice communications options, and there are several reasons why modern telephony solutions stand head and shoulders above the traditional methods of telecommunications.

Voice Over Internet Protocol, or VoIP as it’s known, is a telephone service which operates over the internet. Gone are the days of telephone lines being down, or having to wait for days or weeks to have a new business line installed by our parastatal service provider. No dependency on a fixed-line operator, as all calls take place over your internet connection.

In order to facilitate VoIP, your business needs a dedicated internet connection for voice calls. Call quality will be determined by the quality of that connection, and a minimum speed of 1Mbps is recommended for companies with a staff complement of 15 to 20.

So what else makes VoIP so special? Several things. For one, you’re able to link all your employees to one ‘virtual switchboard system’. This includes that employee who works from home, on the other side of town, or sales reps in satellite branches around the country. You can have an unlimited number of extensions in your system, and you may want to find a telecoms provider that does not charge you per extension and instead only for monthly access to the ‘PBX in the Cloud’ system. This system allows you to enjoy free calls between multiple offices.

You will also want to find a system that facilitates recordings of every call placed both internally and externally, helping you keep tabs on your customer relations and service delivery and preferably also at no additional monthly fee!.

The only other additional monthly charge you should pay for is for the 087-number assigned to your business (you will still keep your ported 011 business number!). You only pay one fee, even if you have 10 lines in your system. These are just a few of the benefits this cost-cutting voice solution offers.

We hope that the information in this article will be of value to you and your business, and encourage you to either review your existing setup or immediately implement some of the advice given.
